Tuition

Your tuition reserves your weekly lesson time with your teacher. Therefore, tuition is neither reduced nor refunded for any reason. You are financially responsible for your lesson regardless of attendance. We do not issue refunds or monetary credits for missed lessons.

Monthly Tuition: Tuition is a flat, monthly fee due on the first of each month and is billed automatically to VISA, DISCOVER, OR MASTERCARD. Although tuition is paid monthly, it is not calculated by the number of lessons in the month. For example, some months have 5 lessons and others as few as 3. Holiday closures have been calculated into the monthly tuition, so no makeup lessons are offered for holiday closures. Tuition does not include any retail teaching materials such as books or instruments. Tuition for special promotions is paid in full up-front and not refunded for any reason. For new students, the first month’s tuition is prorated, and you will be charged for the number of lessons scheduled for that first month (1-5 lessons depending on the schedule).

Registration Fee:  A $25 non-refundable registration fee is due at registration (waived for 3rd child). Members who return after withdrawing and have a one month or longer gap between enrollments are charged the $25 registration fee.

Late payments

In the event your credit or debit card auto-payment fails, we will attempt to contact you and attempt to charge the card on file for 3 days beginning on the 1st of the month. After 3 days, we will add a $10 late fee to that month’s tuition.

Membership

Membership includes:

  • Regular, weekly lessons with your teacher (Except when studio is closed for holidays)

  • Two (2), yearly recital performance opportunities at no additional cost (Recitals are on a first come, first served basis. Accompaniments are included in membership.)

  • Educational materials, music books, instrument rental and other accessories are additional costs.

  • Members may purchase additional exam preparation lessons and fees.

  • Active membership is mandatory to participate in our events, exams, and recitals.

Membership cancellation for private lessons

Membership can only be cancelled by submitting our ONLINE CANCELLATION FORM.

  • The cancellation form must be received by the 15th of the month to take effect at the end of the same month. For example, if we receive your form on May 16, you will be billed for the month of June and your cancellation will take place at the end of June.

  • THERE ARE NO EXCEPTIONS TO OUR CANCELLATION POLICY.

  • All makeup lesson credits on your account expire 30 days after cancellation takes effect.

  • You may withdraw the cancellation at any time before it takes effect but your teacher and/or lesson day and time cannot be guaranteed.

  • A $25 returning student registration fee will be required to re-enroll once a withdrawal takes effect.

  • Active membership is mandatory to participate in our events, exams, and recitals. All registration(s) will be withdrawn at the time of membership cancellation.

  • We do not provide tuition refunds under any circumstances.

  • We reserve the right to terminate membership, in which case, pro-rated tuition will be refunded.

Pausing weekly lessons and tuition

  • At the manager or director’s discretion, we will ‘pause’ tuition payments and lessons for up to one month or up to 5 consecutive lessons in a calendar year.

  • We do not refund tuition for requests to pause lessons in the middle of a month. In this case, lessons already paid for will be canceled and a makeup session credit will be issued.

  • The membership cancellation policy applies to membership holds.

  • Membership on pause can only be cancelled by submitting our ONLINE CANCELLATION FORM. The cancellation form must be received by the 15th of the month to take effect at the end of the same month even if your account is on hold. For example, if we receive your form on May 16, you will be billed for the month of June and your cancellation will take place at the end of June.

Open door policy

Parents are always allowed to sit in on lessons.

Teacher substitutions

  • The school reserves the right to replace or substitute teachers without notice if the regular teacher is unable to attend lessons.

  • Our regular cancellation policy applies to substitute teachers. No makeup credit is issued for last minute substitutions.

  • If a replacement teacher cannot be scheduled, we will issue a makeup session credit that is good for 60 days.

Missed lessons

No tuition credit or refund will be issued for missed lessons.

Cancel with 24 hours’ notice:

  • If you cancel a lesson with 24 hours' notice you receive a makeup session credit that can be used to schedule a makeup lesson with any available teacher.

  • Makeup session credits expire after 60 days.

  • Once scheduled, a makeup lesson cannot be rescheduled.

  • No more than 4 makeup session credits can be pending at a time per membership.

Cancel with less than 24 hours’ notice:

  • If you cancel a lesson with less than 24 hours' notice, select ‘Request a Recorded Video’ and a personalized instruction video will be sent to your email within 24 hours of your missed lesson.

  • You can always take your lesson online from your home by clicking ‘Join Online’ in your Opus1 profile.

  • Students who do not show up for a lesson, who get sick the day of their lesson, or who do not provide 24 hours’ notice, will receive a short, personalized instruction video via email.

School staff cancels lesson:
If school staff cancels your lesson due to teacher absence, you will receive a makeup session credit that expires after 60 days.

In the event of inclement weather, the school will move lessons online and notify you via email and text. There are no makeup session credits given when lessons are moved online due to inclement weather.

Communication with Teachers

While you work with the school, you will have the ability to communicate with both the school and your specific teacher(s). For your protection and that of the school and its teachers, among other reasons, all communications between you and the school and with any teacher outside of a lesson, recital or other school activity must take place through Opus1, the school’s scheduling/purchasing system or via the administrative staff in the office. Our teachers have been told that they should never provide you with their personal phone numbers or personal email addresses or ask for that information from you or any student. By agreeing to these terms and conditions, you agree that you will solely communicate with your teacher(s) through Opus1 or the office and will neither request your teacher’s/teachers’ personal cell phone numbers or personal email addresses nor provide your personal cell phone numbers or personal email addresses to any teacher(s). Failure to abide by this requirement may result in immediate cancellation of your membership without a refund.

Non-Solicitation of Teachers

While you are a member of the school or otherwise taking lessons from a school teacher and for a period of twelve (12) months thereafter, you shall not take lessons from or conduct business with any teacher(s) that you took lessons from or otherwise worked with at the school.

Care of students

The school is not responsible for providing before or after care for students. Parents with children under the age of eight must remain in the school lobby during the classes. Students are not to be left at the school before or after their lessons. Children must wait for their parents to pick them up inside the studio. Please do not ask them to meet you elsewhere. Students are not to be dropped off on the street or curb. The studio assumes no responsibility for children who leave unaccompanied.

Injuries

You assume all risk of injury or harm to yourself and any of your children arising from or associated with participation in or attendance at any programs, events, or activities involving the Champaign School of Music or South Loop School of Music and agree to release, indemnify, defend, and forever discharge Champaign School of Music or South Loop School of Music, as applicable, and their respective directors, officers, and staff from all liability, claims, demands, damages, costs, and expenses in the unlikely event of injury sustained by you or your child(ren) arising from or associated with participation in or attendance at any programs, events, or activities of Champaign School of Music or South Loop School of Music.

Image and audio/video recording

At the School we host multiple recitals, music parties and photo shoots that are very popular with our parents. A photographer visits the event and takes pictures of the students. Parents get free digital copies. Our monthly newsletter often features a student of the month and we occasionally videotape performances. These may be used on our website and on social media.
